Help Guideline: Import Property Information and Map to Assistant

Prerequisites:

Before you begin, ensure that the following conditions are met:

  • Partner API Key: The "Import Assistant" button is only visible once a valid Partner API key is added in the Partner API Keys section under settings. If you do not have a key, you'll need to add one.

Steps to Import Property Information and Map to Assistant:

1. Locate the "Import Assistant" Button

The "Import Assistant" button can be found in the dashboard once the Partner API key has been added. It will prompt you to start the import process.

2. Add Partner API Key (if required)

If you do not have an API key added, clicking the Import Assistant button will prompt you to Add New API Key. To add the key:

  • Go to the Partner API Keys section in the settings.
  • You will see options to add the key for services like Hostaway and Hospitable.

3. Select the Properties to Import

  • After the API key is set up, click the Import Assistant button again.
  • A dropdown will appear allowing you to select one or multiple properties from the available list.

4. Fetch Property Information

The system will fetch the property details from the API, which includes various property-related fields, such as:

  • Public Name, Tags, Photos, Summary, Description
  • Space Overview, Guest Access, House Manual
  • Max Number of Guests, Languages, WiFi Name, WiFi Password
  • Amenities, Guidebook URL, Rental Agreement URL, Upsell URL
  • House Rules, Pets Allowed, Smoking Allowed, Events Allowed
  • Location (Address), Neighborhood Description, Getting Around
  • Rooms and Features (Bedrooms, Beds, Bathrooms, etc.)
  • Property Type, Room Type, Check-in Time

5. Map Property Information to Assistant

The property information will be automatically converted into a document and uploaded to the Knowledge Base section.

6. Auto Map Assistant Details

  • The assistant name will be mapped to the property name.
  • The property location will be assigned to the assistant's location.

7. Import Important Contacts

If the property has important contacts (e.g., manager, reception), these will be uploaded and linked to the assistant for easy access.

8. Draft Assistant Creation

A draft version of the assistant will be created automatically, showing all mapped details such as the assistant's name, location, and contacts.

9. Track Progress

During the import process, a progress bar will be shown indicating the import status (e.g., "3 of 10 completed").

10. Select Specific Properties

You can choose to import all properties or only specific ones, depending on your needs.

Additional Notes:

  • Visibility of Import Button: The Import Assistant button will only be visible once a valid Partner API Key is added.
  • API Key Section: You can view and manage API keys under the Partner API Keys tab in the settings.
