Guide to Sending Direct Messages
How to send, manage, and track WhatsApp & SMS messages to your audience
The Direct Messages feature in Msg2ai allows you to send one-to-one messages to attendees, guests, or customers directly from your dashboard. This tool is perfect for quick updates, reminders, personalized outreach, or human-verified follow-ups that you want to send outside automated flows.
This guide explains how Direct Messages work, how to compose and send a message, and how to understand message status and analytics.

What You Can Do With Direct Messages
With the Direct Messages module, you can:
- Send real-time WhatsApp or SMS messages to any recipient
- Personalize communication using your assistant and saved recipients
- Add a human-message indicator for compliance
- View delivery status in one place
- Filter messages by delivery state
- Search past messages instantly
Understanding the Direct Messages Dashboard
When you open the Direct Messages page, the dashboard displays four key metrics:
- Total Messages – Cumulative messages sent from your account
- Today – Messages sent in the last 24 hours
- This Week – Messages sent in the current week
- Pending – Messages waiting for delivery
Below the metrics, you can search or filter your messages using:
- Search bar – Look up messages by content, recipient name, or phone number
- Filter dropdown – Choose from All Messages, Delivered, Pending, or Failed
- Send Message button – Opens the Direct Message composer
All sent messages appear in a table showing:
- Recipient
- Message content
- Status
- Date & time sent
Sending a Direct Message
Step 1: Select Recipient Details
In the message composer, start by filling in the Recipient Details section:
- Assistant – Choose the assistant that will send the message
- Message Type – Options change automatically based on the assistant selected
- Phone Number – Enter the number if sending to a new contact
- Recipient – Pick from existing saved recipients if applicable
Msg2ai lets you either manually enter a number or select an existing user—whichever is easier for your workflow.
Step 2: Write Your Message
Under Message Content, you can compose your text.
The editor includes:
- A 1600-character limit
- Character counter to help you stay within SMS or WhatsApp boundaries
- Message Indicator (optional but recommended)
Message Indicators
These help recipients understand the message is sent by a real person.
You can choose:
- No indicator
- Prefix indicator
- Suffix indicator (recommended)
You can enter any custom text—e.g., "message sent by a real human". The message preview below shows you exactly how it will appear.
Step 3: Send the Message
Once everything looks good:
- Click Send Message
- Or click Cancel to discard
After sending, the message appears instantly in your Direct Messages table with a status label.
Message Status Explained
Each message will show one of the following states:
- Delivered – Successfully delivered to the recipient
- Pending – Still processing or awaiting carrier confirmation
- Failed – The number was unreachable, invalid, or the carrier rejected the message
You can apply filters to quickly track the status of all outgoing messages, especially helpful during busy events.
Searching and Filtering Messages
The Direct Messages dashboard includes fast search and filtering tools:
- Use the search bar to find messages by content, phone number, or name
- Use Filter to view only Delivered, Pending, or Failed messages
This makes it easy to troubleshoot or audit communications during and after events.
Best Practices
To get the most out of Direct Messages:
- Always select the correct assistant before composing
- Use the suffix indicator for transparency and trust
- Double-check phone numbers for manual entries
- Keep messages short and relevant (especially SMS)
- Use the search bar to quickly find previous conversations
- Monitor the "Failed" filter to resolve delivery issues fast
